Please note that all costs are quoted without VAT and with VAT at 20%

The costs are split into ‘Full Package’ or ‘Day Rate’ and we offer discounts for:

· Early Bookings;

· For more than two people from the same organisation;

· For frontline workers on low pay

We may be able to offer special discounts for university tutors with groups of learners. Local Authorities wanting to sponsor a fixed amount of places may also be eligible for a special discount.

Early Booking Discount

We are offering huge discounts for delegates who book early! Making it as cheap as £250.00 + VAT to attend the full Conference.

Bookings made by certain key dates will attract discounts from the ‘Full Conference Package’ or ‘Day Rates’:

Price includes:

· Tuesday and Wednesday Conference admission with a delicious buffet lunch and as much tea & coffee as you can handle!

· Conference journey planner

· Tuesday night shared accommodation and breakfast [there are a limited number of single rooms available at a £10.00[£12.00 inc VAT] charge]

· Playwork Awards Ceremony and dinner on Tuesday evening

Additional Costs

· There will be a £25.00[£30.00 inc VAT] charge applied if you require arrangements to be made not via electronic communication.

· There will be a £25.00[£30.00 inc VAT] charge applied if we have to resend your invoice because you supplied the incorrect information at the time of booking.

· If payment has not been made by the time of Conference there will be a late payment charge of

£75.00[£90.00 inc VAT]

· Invoices for discounted places must be paid by the closure of that discounted offer time, or by the ‘invoice due date’, or an additional fee of £50.00[£60.00 inc VAT] will become payable.

· There will be a £15.00[£18.00 inc VAT] admin charge for any cancellations or alterations that require a revised invoice to be sent

· Booking confirmation and invoice will be sent to the nominated person. If we have to send invoices to any other person than the nominated person there will be a £15.00[£18.00 inc VAT] charge

Discounts

Bursaries: For poorly paid frontline playworkers or students a bursary may be available of up to £385.00, this could reduce the Full Conference Fee to £115.00[£138.00 inc VAT] or for Day Rates a bursary of up to £205.00 could reduce the Day Rate to £35.00[£42.00 inc VAT]

In return for receiving a bursary you will be asked to make a contribution to Conference or iP-D!P magazine. This will be discussed when you apply for the bursary. [The aim of these bursaries is to encourage and support those playworkers and students who want to attend the Conference but are working for an organisation that does not have staff development funds and where there are no other sources of funds to pay for their attendance. This means that these bursaries are not available to all learners, students or frontline playworkers.]

Buy 2 and get the third discounted: For every 2 places booked by an organisation the 3rd place booked at the same time will receive a 50% discount off the ‘Full Package’ or ‘Day Rate’ fees.

Travel Discount: We think it's reasonable to travel for 4 hours to attend a Conference. However we realise that Eastbourne is a long way to go! So we introduced a radical new idea! Travel discount works like this: For every minute over 4 hours that it takes to get to Eastbourne we will reduce your fee by £0.15p. The maximum travel discount you can have is £75.00. The time is not your actual travel time but the route time as calculated on www.maps.google.co.uk. You must request the discount when booking. Our honesty policy applies to this discount. Travel discount is not available for day delegates. Those requesting the travel discount must be prepared to share travel arrangements with playwork colleagues from the same area. The travel discount is deducted before any other discounts are applied and is only available for the full package.

Additional places: As we are actively encouraging organisations to send a team of people to the Conference we may be able to quote further discounted fees for large groups.

Further bursaries: Are available for those in need; please write making your case for this.

Hotels: Whilst the Tuesday night hotel is included in the Full Package cost you might like to come to Eastbourne on the Monday and you may choose to stay on the Wednesday. If you are coming as a day delegate you may also like to book a hotel room. Any additional night in the hotel is available at £40.00[£48.00 inc VAT] for bed and full English breakfast in a shared twin or double room. For delegates on the Full Package the included hotel room is a shared twin or double room. Single rooms are available for a £10.00[£12.00 inc VAT] supplement.

Honesty Policy: We at the National Playwork Conference want to make our Conference as financially accessible to the playwork sector as possible. We recognise that some workers have a very low wage. We recognise that some workers may come to the Conference in their own time. We offer a range of discounts in order to support those who really need them, so that they can attend the event. Our discounts are not aimed at workers or organisations who could afford to pay, or who are funded with public sector or lottery money. Those requesting the student or poorly paid playworker bursaries will be required to evidence that they are in need and as part of the bursary they will be expected to make a contribution to Conference. Those requesting the travel discount must be prepared to share travel arrangements with playwork colleagues from the same area. The travel discount is deducted before any other discounts are applied and is only available for the full package.

We will be producing invoices for all bookings so please do not send your payment with the booking form. All invoices and other communication will be by email and if paper copies are required then a fee of £25.00[£30.00 inc VAT] will be charged.

Final date for bookings is Friday 15th February 2013. Any bookings received after 15th February 2013 will be charged at an additional £40.00[£48.00 inc VAT] per person with no discounted places. If you are unsure whether your booking has arrived please contact the Conference Office.

Payment Terms

Please note our strict payment terms. All Conference fees must be received in the Conference Office by Friday 1st March 2013. If the payment has not been made by that time a late payment surcharge of £75.00[£90.00 inc VAT] will become payable. [This includes anyone who has made a booking, not cancelled it by Friday 22nd February 2013 and who does not turn up on the day.]. If your booking was eligible for an ‘early booking’ discount and your Conference fees have not been paid [as above] the discount becomes no longer available and full Conference Fees will become payable.

All bookings will be acknowledged by the Conference Office.

There will be no refunds or credits for non-attendance. Cancellations made before 15th February 2013 will receive a full refund less a £25.00[£30.00 inc VAT] admin charge. Cancellations made between 16th February 2013 and 26th February 2013 will receive a 50% refund. Cancellations after this date will receive no refund.

The Conference Team will be leaving the Office on 4th March 2013 and so will not be able to take registrations for late booking or details of cancellations from this time.
